START WITH ONE CONVERSATION

Make a little
room for your day.

Your first steps in CAPAX. Move at your own pace: connecting Gmail, enabling AI, learning from mail and sending a message are separate decisions.

  1. Connect the Gmail you want to use.

In Settings → Accounts, choose Connect Gmail. Review Google’s requested mail permissions and finish consent in the same browser. Your Google password is entered only on Google’s sign-in page.

Return to CAPAX and let the first sync finish. If mail is missing, check the connection and sync status in Settings before treating the workspace as up to date. Calendar and Tasks can be connected separately.

  2. Choose how much AI help you want.

AI starts off. You can keep using mail and manual follow-through without it. To use AI, review Settings → AI & Privacy → AI processing permission.

    • OpenAI processing: lets AI features send relevant mail, instructions and context to OpenAI.
    • Background analysis: separately allows analysis of new mail.
    • Learning from mail: separately allows received and sent mail to be analyzed for proposed memories.

Choose only what you want, then select Save AI permission. Turning a permission off blocks new AI transmissions across devices; an already transmitted request may finish. Saved memory has separate review and removal controls. AI features also depend on your pilot plan.

  3. Give CAPAX one useful detail.

Open My context and save a note about a project, role or preference—for example, “I’m organizing the studio opening.” Avoid adding details you do not want stored. If learning is enabled and available, review the proposed memories and their source excerpts. Confirm only what is accurate; correct or forget it as things change.

This is personal memory shared across your own workspace’s features, not with other pilot users. In contextual replies, you explicitly select the details you are comfortable sharing with the recipient.

  4. Review what needs you.

Open Your day and choose a conversation. Mark it Action, Just FYI, Revisit later or Handled. Mail that has not been assessed stays in To review; an empty action queue does not mean every email has been reviewed.

These attention choices organize your CAPAX workspace. They do not archive, delete or report the email as spam in Gmail. Read the original thread when the synced preview is not enough.

  5. Keep one commitment on your radar.

Use Keep a commitment, or open an email and choose Find a follow-up. AI suggestions require processing permission and an eligible plan. Review the source, edit the next step and approve it before it enters Follow-through.

Set a due date for your next step or a check-in for something you are waiting on. Week Ahead brings dated items together with your optional connected calendar. Mark commitments complete yourself when the work is done. Approving a suggestion does not send a follow-up email.
